The 30-hour workweek (also referred to as the 30-hour model or 30h week) could soon become a new standard in the modern workplace. At least, this is one of the future scenarios proposed by the Zukunftsinstitut (Future Institute). Within the megatrend of New Work, this concept is gaining increasing attention—especially as more people want to work less while enjoying more free time.
But what exactly is behind this idea, and what advantages and disadvantages does it bring? This article explores the key aspects of the 30-hour workweek and looks at best practices, including examples from Sweden.

What does the 30-hour workweek mean?

The 30-hour workweek refers to a working time model in which the regular weekly working hours are reduced to 30 hours, usually with the same salary as a 40-hour workweek. The focus is not on the number of hours worked, but on the results achieved. The idea behind this is to maintain performance and quality despite shorter working hours through more efficient work processes.

30-hour workweek: full-time or part-time?

Whether a model with reduced working hours is considered a standard arrangement or rather a part-time job depends largely on the industry, the collective agreement, and the company in Germany. While 40 hours per week is commonly the standard, 37.5 or 35 hours can also be defined as the norm. Legally, employees are classified as part-time if their agreed working hours are below the standard within the same company. Therefore, a 30-hour workweek can also be considered full-time—namely when all employees in the company work no more than 30 hours per week.

How are the 30 hours distributed across the week?

The distribution of the 30 working hours per week can vary and is usually based on the needs of both the company and the employees. There is no fixed model; instead, many companies rely on flexible solutions.

Working hours are often spread across five shorter days, for example with six hours per day. Other models bundle the hours into a four-day workweek, creating an additional day off each week. This four-day concept is considered particularly attractive, as it allows for longer recovery periods and more free time.

Example (flexible 4-day model):
2 days per week with 8 hours each
2 days per week with 7 hours each
1 day off per week

Additionally, flexitime or flexible start times can help integrate the agreed working hours optimally into the daily work routine.

Salary in a 30-hour workweek

The question of salary plays a central role in this new concept. The key factor is whether the reduced number of hours is implemented with or without salary compensation. Both variants exist in practice and differ significantly in their impact on employees and companies.

With or without salary compensation?

In the version with salary compensation, the salary remains at the level of a traditional full-time position despite the reduced number of hours. This means less working time with the same income. The prerequisite is that processes are made more efficient and productivity per hour increases. This approach is often used in pilot projects or within modern New Work concepts.

Without salary compensation, however, the pay is reduced proportionally. In Germany, earnings for a 30-hour workload are usually around 75% of the corresponding full-time salary (based on 40 hours). The reduced working hours therefore lead to lower income, similar to a traditional part-time job. This option is easier for companies to implement, but only offers real added value for employees when time is more important than income.

Example calculation

30-hour workweek with salary compensation
• Initial situation:
40 hours/week
€50,000 gross per year
• Adjustment:
30 hours/week
Salary remains unchanged

30-hour workweek without salary compensation (proportional)
• Initial situation:
40 hours/week
€50,000 gross per year
• Adjustment:
30 hours correspond to 75% of a full-time position
Calculation:
€50,000 × 75% = €37,500 gross per year

Leave entitlement and break regulations

Even in a job with 30 working hours, legal regulations regarding leave and breaks still apply. What matters here is not the weekly working time, but above all the number of working days and the daily working hours.

Vacation entitlement formula with calculation examples

For the calculation, the vacation entitlement of a regular employment is converted to the respective working time model. The basis is an assumed full-time vacation entitlement of 30 days with 5 working days per week. The common formula is:
(Annual vacation days ÷ full-time working days) × part-time working days = vacation entitlement

Example 1: 5 days per week with 6 hours each
Full-time vacation: 30 days
Full-time working days: 5
Part-time working days: 5
Calculation:
(30 ÷ 5) × 5 = 30 vacation days

Example 2: 4 days per week with 7.5 hours each
Full-time vacation: 30 days
Full-time working days: 5
Part-time working days: 4
Calculation:
(30 ÷ 5) × 4 = 24 vacation days

Example 3: 3 days per week with 10 hours each
Full-time vacation: 30 days
Full-time working days: 5
Part-time working days: 3
Calculation:
(30 ÷ 5) × 3 = 18 vacation days

Good to know:
The number of hours worked per day (e.g., 6 or 8 hours) does not play a role in calculating vacation entitlement. The only decisive factor is how many days per week are worked.

Break requirement from 6 hours onward

The statutory break regulations are governed by the Working Hours Act and are based on the daily duration of work, not the weekly number of hours.

If you work more than 6 hours: at least a 30-minute break is required

If you work more than 9 hours: at least a 45-minute break is required

It is also important that breaks are scheduled in advance and not moved to the end of the workday. Especially in compact working models with longer working days—such as a four-day workweek—well-planned breaks play a crucial role in maintaining concentration, health, and performance.

Advantages of the 30-hour workweek

The introduction of such a working model offers numerous advantages for both employees and employers alike. For employees, reduced working hours mean more time for personal interests, family, and recovery, leading to a better work-life balance. This additional free time can significantly increase overall well-being and satisfaction. Studies have shown that working less can reduce the risk of burnout and other stress-related illnesses, which in turn contributes to a higher quality of life.

Another advantage is that employers also benefit from this model. Satisfied and balanced employees are often more productive and creative. Reducing working hours can lead to higher efficiency, as employees complete their tasks in a more focused manner and with fewer distractions. In addition, absenteeism decreases, since the risk of sick leave due to stress-related illnesses is reduced. Companies in Germany that offer flexible working models also position themselves as attractive employers in the competition for talent, which makes it easier to retain and recruit employees..

Overall, the 30-hour workweek leads to a win-win situation: employees enjoy a higher level of freedom and quality of life, while employers benefit from increased productivity, reduced absenteeism, and a stronger employer brand.

Disadvantages of the 30-hour workweek

Despite the many advantages that the 30-hour workweek offers, there are also potential disadvantages and challenges that need to be considered. It requires careful planning and adjustments in order to minimize possible risks.

One of the main disadvantages can be an initial drop in productivity, especially in industries that rely heavily on employee presence. Companies may need to adapt their work processes and structures to make efficient use of the reduced working time. This can result in additional effort and costs.

The need for cultural adjustment can also be seen as a potential disadvantage. In many companies, long working hours are still considered a sign of commitment and dedication. The transition to a 30-hour workweek therefore requires a shift in corporate culture and in the mindset of both employees and managers. This can take time and require persistent communication and training efforts.

Furthermore, this working model is not equally suitable for every industry. In highly customer-oriented or production-intensive sectors, it may be difficult to reduce working hours without negatively affecting the quality or availability of services and products.

Company examples from Sweden, New Zealand, and Austria

The reduced-hours working model is already being successfully tested internationally. Sweden is considered a pioneer in this area, while New Zealand and Austria are demonstrating through new company models how working less can function in practice. The following examples provide insight into different approaches and show how companies outside of Germany are dealing with such solutions and restructuring their working hours.

Sweden: Sahlgrenska Hospital in Gothenburg

In a nursing home and a hospital in Gothenburg, the working hours of care staff were reduced to fewer hours. The results were promising: the staff were significantly more satisfied, had more energy, and were able to provide better care to patients. Job performance also improved noticeably. However, additional employees had to be hired to cover shifts, which led to higher costs for the employer. Ultimately, after the trial phase, the institutions returned to the traditional weekly structure.

Despite this shift, the Swedish example clearly demonstrates the potential of such concepts—particularly in the care sector, where there is currently a significant shortage of skilled workers. The noticeable improvement in working conditions and increased leisure time for employees could, in the long run, help make the profession more attractive. Especially in sectors where many people want to work fewer hours, this model can represent a possible solution.

👉 Start a trial month of the DEIN RAUM application now and benefit from the advantages of a hybrid working model

New Zealand: Perpetual Guardian

The asset management company Perpetual Guardian tested a four-day workweek in 2018 with reduced hours while maintaining full salary. The model was based on the 100:80:100 rule: 100% pay for 80% working time, while maintaining 100% productivity.

An accompanying study showed clear effects: productivity increased by around 20%, while employees’ stress levels dropped from 45% to 38%. At the same time, job satisfaction and work-life balance improved significantly. Despite initial skepticism, work performance remained stable or even increased.

Based on these results, Perpetual Guardian decided to adopt the model permanently. This example shows that working fewer hours can also be successfully implemented in knowledge-intensive office jobs.

Austria: eMagnetix

Austria also offers a widely recognized practical example of a shorter workweek. The online marketing agency eMagnetix gradually introduced reduced working hours with full pay starting in 2016. A key reason for this change was the growing shortage of skilled workers, as well as the difficulty in attracting and retaining qualified employees in the long term.
The results after implementing the new working model showed that productivity increased by around 34%. Employees reported less stress and more time for family, leisure, and further education. Absenteeism and staff turnover also declined.
In addition, the new concept proved to be a competitive advantage. The number of applications multiplied, and the company was able to grow without suffering losses in performance or customer satisfaction. This demonstrates that working less can also be economically successful and offers many benefits for both employers and employees.

Alternative working time models

In addition to the 30-hour workweek, there are various other models that also have the potential to revolutionize the world of work and meet the needs of the modern workforce. Here are some of the possible approaches:

Four-day workweek: In this approach, the week is distributed over four days, usually with a total of around 32 working hours. Studies from various countries, including Iceland and New Zealand, have shown that this model can increase productivity while also improving employee well-being. Companies report lower absenteeism, higher motivation, and a better work-life balance. The four-day model offers the advantage of a longer weekend, giving employees more time for recovery and personal commitments.

Flexible working hours: Flexible working concepts allow employees to structure their work within a certain framework. Often, there are fixed core hours while the rest remains flexible. This enables many people to better organize their lives and experience less stress in everyday life. This solution offers clear advantages, especially for parents or individuals with additional responsibilities.

Job sharing: In job sharing, two or more people share a full-time position. This approach allows employees to distribute the workload among several individuals while still ensuring that all tasks are fully covered. Job sharing can be a solution for employees who want to work part-time without having to give up their career goals. It can also help alleviate the shortage of skilled workers by enabling more people to remain professionally active.

Results-oriented working time models: In this organizational approach, working time is no longer strictly measured in hours, but rather by the results and goals achieved. Employees have the freedom to organize the duration of their work in a way that allows them to reach their objectives efficiently. This model encourages a results-oriented mindset and can increase motivation, as employees are able to determine their own way of working.

Each of these models has its own advantages and disadvantages and can vary depending on the industry, company size, and job requirements. It is important for companies to evaluate the different options and determine which model best fits their specific situation and the needs of their employees. The flexibility and adaptability of these concepts can play a crucial role in creating a balanced and productive work environment.

30-hour workweek and workplace booking: what companies should prepare

When you reduce the number of hours you work, attendance patterns in the office automatically change. Employees are no longer present for five traditional full working days, but instead work more staggered schedules or on different days. This directly affects how office space is used. For example, if the shortened workweek is spread over four working days, the entire team is usually no longer present in the office at the same time.

The consequences affect several areas: the actual space requirements change, fixed desks are no longer necessary for all employees, and parking demand also fluctuates more. Without clear regulations, this can lead to uncertainty or inefficient use.

Benefit 1: Flexibility and Cost Savings

Utilizing a share desk in a coworking space allows companies to have high flexibility regarding their work environment. Instead of entering into expensive long-term office lease agreements, companies can rent a share desk in a coworking space. This provides them the opportunity to switch between different workstations as needed. Significant cost savings are achieved as payment is only made for the actual time used.

Benefit 2: Networking and Synergies

Another major advantage of collaborative work in coworking spaces is the opportunity to establish valuable connections and create synergies. By collaborating with other professionals and companies who also utilize a share desk, numerous networking opportunities arise. These connections can lead to new business opportunities, collaborations, or even long-term partnerships. The share desk serves as a meeting point for the exchange of ideas and experiences.

Benefit 3: Professional Work Environment

A coworking space offering share desks ensures that the work environment meets the needs of modern companies. These spaces are equipped with high-quality office furniture, state-of-the-art technology, and a pleasant atmosphere. Companies utilizing a share desk can work in a professional environment that provides them with the necessary comfort and infrastructure to be efficient and productive.

Benefit 4: Creativity and Inspiration

Collaborating with other creative minds in a coworking space, especially when working together at a share desk, fosters creativity and inspiration. Regular contact with different fields of expertise and access to diverse ideas and perspectives lead to innovative approaches and solutions. The share desk becomes a place where creativity thrives, and new impulses are generated.

In the wake of the Covid-19 pandemic, there has been a remarkable shift in the way we work. Companies, governments and educational institutions have rapidly adopted hybrid or fully remote working arrangements, not only out of necessity, but also because of the unexpected benefits they bring. What started as a temporary solution has now become an integral part of our work culture, offering unique opportunities to boost productivity, increase employee motivation and contribute to a healthier society and work-life balance. Recognizing the potential of these changes, forward-thinking organizations like Pial Consult have not only adopted new work policies for their employees, but also leveraged them to address environmental concerns. Aligning sustainability with digital transformation, hybrid working has emerged as a viable solution to combat climate change and optimize the use of limited natural resources. In this blog post, we will explore the transformative power of the new work model and its profound impact on building a sustainable future.

During Covid 19, companies, governments, universities have had to integrate hybrid or fully remote working, even if it is mandatory. Remote & hybrid working, which entered our lives primarily as a result of the pandemic, has become a part of the working culture of many companies and institutions after the pandemic due to the unique opportunities created by this new working policy that increases work efficiency, contributes to employee motivation and provides a healthier society and work-life balance for employees. In addition, as a solution to increasing air pollution, climate change and the use of limited natural resources in recent years, the business world and organizations have started to include hybrid working in their sustainability and digital transformation policies.

Sometimes we can take our computers and work mobile in a country wherever we want, sometimes we share our experiences with each other over lunch at the big table in our office after working together and we love this freedom. But as a tradition we don’t forget to bring a snack for our team when we return from the countries we visit.
What are the arguments against remote work?

Remote work has experienced a real boom in recent years. More and more employees prefer to work from home. It offers flexibility and a better work-life balance. But are there also arguments against remote work? Let’s take a closer look at some of them.

Is the office better than remote work?

Although remote work offers many advantages, there are situations where the office is still the better option. Personal contact with colleagues and supervisors can facilitate communication and collaboration. An office also provides the opportunity to distance oneself from home and draw a clear line between work and personal life.

Why is there no mandatory remote work?

Despite the increasing popularity of remote work, there is currently no legal requirement for employers to offer this option. One reason is that not every profession is suitable for working from home. Some jobs require physical presence in an office or at a specific workplace.

How effective is remote work really?

There are mixed opinions about how effective remote work actually is. Some studies show that employees working from home are more productive and satisfied. Other studies, however, suggest that productivity may decrease when employees are faced with the distractions of the home environment. It is important to consider individual needs and the nature of the job in question.

What is a bench workstation?

A bench workstation is a special type of workspace designed for the flexible use of employees. Instead of having a fixed desk, employees use a pool of workstations as needed and available. But what are the arguments for and against bench workstations? Let’s take a closer look.

Are satisfied employees more motivated?

A satisfied workforce is of great importance to any company. There are numerous studies showing that satisfied employees are more motivated and engaged. Bench workstations can help increase employee satisfaction as they provide more flexibility and a greater variety of work environments.

How large should a workstation be?

The size of a workstation plays an important role in the productivity and well-being of employees. A workstation that is too small can lead to frustration and discomfort, while an excessively large workstation is inefficiently used. It is important to find the right balance and offer workstations that meet the individual needs of employees.

What makes a good workstation?

A good workstation should meet the needs of employees and provide a pleasant working environment. This includes aspects such as adequate lighting, ergonomic furniture, a comfortable room temperature, and good ventilation. The ability to personalize the workstation can also increase employee satisfaction.

What is an open space office?

Open space offices are workplaces that have few or no partitions or enclosed rooms. They are designed to promote communication and collaboration among employees. But what are the arguments for and against open space offices? Let’s take a closer look.

What is better: individual offices or open space offices?

The debate about whether individual offices or open space offices are better has been ongoing for a long time. Individual offices offer privacy and concentration, while open space offices facilitate collaboration and information exchange. There is no definitive answer to this question as it strongly depends on individual preferences and the nature of the work.

What is multispace?

Multispace is a concept that combines different types of work areas in an office. This means that there are both individual offices and open areas and meeting rooms. Multispace allows employees to choose the appropriate workspace based on the task at hand and their individual needs.

Why choose an open space office?

Open space offices are often seen as a cost-effective option as they require fewer walls and less space per employee. They can also facilitate collaboration and information exchange. However, there are also criticisms, such as noise and distractions, which can affect productivity.

How can desk sharing be organized so that it really works—for all employees?
Hybrid work is becoming increasingly common. But along with this flexibility comes a new challenge: organizing workspaces efficiently and fairly. Anyone introducing desk sharing needs a solid plan—and the right software. After all, desk sharing can only be successfully established within a company through clear rules, transparency, and digital tools.

In this post, we’ll show you how to organize desk sharing —with 8 proven rules and practical tips from real-world experience.

What is desk sharing?

Desk sharing refers to a workplace model in which employees no longer have a fixed desk but instead book an available space or choose one flexibly as needed. This means that no one has “their own” desk—instead, the workspace is shared and reassigned daily. This principle enables a more efficient use of office space because a permanent seat does not have to be reserved for every person.

A key feature of desk sharing is the use of digital tools for booking and managing workspaces—often in combination with concepts such as working from home, remote work, or hybrid work models.

8 Rules & Tips for Desk Sharing

Desk sharing can be a real game-changer—if you approach it thoughtfully. The following tips will show you what really matters when putting it into practice.

1. Space for personal belongings

Even in a flexible office, people need a sense of familiarity. So create personal storage space —such as lockers, rolling cabinets, or shelving units. This keeps desks tidy while still making employees feel like they belong.

2. Design all workstations identically

Nothing is more frustrating than ending up at a different workstation every day. Having a standardized setup with monitors, docking stations, keyboards, and mice is essential. This way, everyone can get to work right away—no matter where they’re sitting.

3. Provide office supplies

Pens, notepads, hole punches: small items, big impact. Set up central stations for office supplies or distribute them evenly throughout the room. This saves everyone time—and stress.

Important: Make it clear that any items taken must be put back. Keeping things tidy is a team effort.

👉 Start a free trial month of the DEIN RAUM app and enjoy the benefits of a hybrid work model

4. Designate rooms for phone calls and meetings

Desk sharing only works if consideration is built into the system. Designate specific areas for virtual meetings and phone calls —such as focus zones or phone booths. This helps keep the open-plan office pleasantly quiet.

5. Implement a clean desk policy

The golden rule of the shared desk model: Leave your workspace just as you would like to find it yourself.
Mugs, food scraps, or personal notes have no place there. Clear rules help ensure the long-term success of desk sharing.

6. Observe data protection regulations

Whether it’s printed documents or sensitive conversations, data protection remains a top priority even in a flexible office environment.
Make sure you have lockable compartments or encrypted digital storage—and ensure your software is GDPR-compliant when making your selection.

7. Implement DeskSharing software

Smart desk-sharing software takes a lot of the organizational burden off your hands. Employees can easily book their desks online, keep track of their schedules, and plan their office hours flexibly.

DEIN RAUM is a smart, intuitive desk-sharing software that focuses on what matters most: organizing workspaces quickly and easily. The solution is GDPR-compliant, works across devices, and offers all the features needed for a seamless booking system—from user roles to clear analytics.

8. Integrating desk sharing into a modern office concept

Desk sharing creates space—in the truest sense of the word. When fixed workstations are eliminated, space becomes available that you can rethink. Take this opportunity to turn your office into a place where people enjoy meeting, working creatively, and finding peace. Whether it’s a working café, a focus zone, or a meditation room: the possibilities are virtually endless.

Office furniture suppliers such as designfunktion Group help you develop a customized concept that fits your teams and your company’s goals.

Conclusion: Desk sharing requires structure—and trust

Desk sharing is much more than simply sharing workspaces. It changes routines, fosters personal responsibility, and puts employees’ needs first. For this transition to succeed, it requires clear rules, transparent communication, and digital tools that work seamlessly—without being overwhelming.

If you implement desk sharing thoughtfully, it can lead to a genuine cultural shift: toward greater flexibility, more opportunities for collaboration, and a stronger focus on what really matters—effective teamwork.

And last but not least: This transition can also pay off financially. After all, using space more efficiently can lead to significant savings—in rent, equipment, and energy consumption.

Desk sharing ensures employees do not claim a desk as their own. Workspaces are flexibly shared between employees. Companies can use a hot desking software to manage this new aspect of organization. Since office workspaces are shared, fewer workspaces are needed and areas that have been underused in the past can now be repurposed. Fewer workspaces also means less office equipment. Even the amount of office space needed is reduced. All in all, using desk sharing to optimize resources can help realize cost savings of up to 30%.

Making hybrid work models work for your employees

When we introduced home office, many employees were fascinated by “working from home”. You can wear what you want without worrying about how your appearance reflects on the company and you can cook while you work or even go for a quick jog before starting your day.
Now, however, many employees are switching from full-time home office to a hybrid work model, some of them voluntarily and others at their employer’s request. That means spending a few days a week at the office. While this transition offers greater flexibility, it sounds easier than it is. After all, adjusting to a hybrid model can become quite a complex process. This article discusses a few ways employers can help employees acclimate to a hybrid work model.

Combine socializing and work

It is common for employees to engage in casual conversations with their colleagues at the office. Who doesn’t remember the time before home office – having a nice cup of coffee in the kitchen, maybe even having a piece of chocolate and chatting with your colleagues. Meeting others is one of the benefits of working at an office. However, going back to the office can be distracting, especially once you have gotten used to working from home.

That is why it is important to combine the fun aspects of the workspace with the actual work that needs to get done. Our tip: encourage your employees to develop a type of time management that lends structure to their workday, for example, using a timer.

Time for new contacts

It should be noted that returning to the office can also mean entering into actual, personal contact again. While working from home, employees got used to communicating without any personal contact with their colleagues. In the end, Teams and Zoom meetings could never replace actual contact with colleagues, especially when many employees turn their cameras off during meetings. It is important to remember that nothing can ever replace personal interaction.

When bringing employees back to the office, it is important to foster the rebuilding of relationships between employees, because it makes office life all the richer and promotes the corporate culture. To promote employee interaction, especially interaction between new and existing employees, employers can organize regular, in-person meetings in, say, the office kitchen, where employees can grab a coffee or a snack and get to know one another better. . That, in turn, helps bring back the relationships and interactions that were lost when employees worked from home.

The most important time: downtime

According to Forbes magazine, 69% of employees experience burnout when they work from home. On the other hand, working in an office and having your day full of social interactions can also be exhausting. In hybrid companies, employees should take advantage of the flexibility the work model offers and relax when they are not in the office, but enjoy the interaction when they are.

If not already the case, it is advisable to organize lounges or relaxation rooms for employees where they can go during breaks or if they just need a few minutes to themselves. If employers make sure their employees feel well-balanced, they will feel better at the office and be able to avoid burning out.

Good health is everything

The pandemic has made it incredibly difficult to return to the office. Conditions are constantly changing, so make working at the office comfortable, it important that employees feel appreciated, especially in times like these. That is why more and more employers are relying on workspace reservation software, which offers an overview of the available spaces at the office, ensures social distancing is observed at the office, while the 3G rule-of-three (vaccinated, recovered, tested) verification ensures safety measures are being met to the greatest extent possible.

One example is the YOUR SPACE workspace reservation system. It ensures an easy return to the office and helps employees feel comfortable and safe. The Covid integration and 3G rule verification means less work for employers and employees alike. Available workspaces can be reserved from a smartphone in just a few clicks or canceled if no longer needed.

It’s Friday and today we start our “Feature Friday” blog series. What is better than finding out about a cool feature of the @YourSpace app right before the weekend?

Everyone probably has their favorite workspaces where they feel most comfortable, whether a window space, a bright space or a quieter corner of the office. That is exactly what the developers thought when they developed it, so they created today’s feature called “favorite space”.

What does the “favorite space” feature offer?

The function offers a nice little benefit for users of our hot desking solution. Not only can they set their favorite space in the office using the reservation pop-up, but it makes reserving the space in the app even easier with an “express reservation” option.

A software with a workspace reservation function is practical and great for the office, but a software with a lot of additional features is even better. YOUR SPACE provides a dashboard that shows which colleagues are at the office on any given day and which space they are working from. This is very practical for determining who you are working with that day or who you want to sit next to. The developers of YOUR SPACE knew, however, that not everyone would love that function. There might be any number of reasons a person would want to remain anonymous. Certain users prefer not having their colleagues be able to see where they are sitting.

That is why the “Hide Me” function was developed. It allows YOUR SPACE users to anonymously reserve a workspace in the office.
